<p>We have a pool of technical resources consisting of some front end developers, back end developers, graphic designers. Those resources are separated from clients directly by one or two account people per client. </p>
<p>Requests from clients come in through the account people and get sent to our synchronization manager. The synchronization manager keeps track of all client projects and has a basic idea of the workload for each resource. His job is to assign work to resources based on priority of the project and the resource's familiarity with the project (to some degree). Currently, the majority of this data/logic is handled in a complex excel spreadsheet. We revisit the schedule every week on Monday so that people have a clear idea of what lies ahead for them.</p>
<p>This type of system works ok for linear projects that have a longer duration, but starts to fail when there are lots of little projects/tasks happening concurrently. Many times, tech resources are "lost" when updates come to the schedule mid week. Not to mention when there are "urgent" requests that supersede the existing schedule.</p>
<p>How do you handle assigning workload when you work with multiple clients on a daily/weekly basis? Is there any software that you recommend to help with scheduling / determining resource availability? Please keep in mind that priorities and projects change frequently, with us not really knowing what is going to happen 1-2 weeks out from the present.</p>

<p>I work in a web shop where most of us aren't programmers. (I am.) Structure is almost non-existent. The biggest beauracratic construct is logging our time since that is essential for business. A few of us are project managers but everyone has their own system. Now lately customers want estimates for all of our work and reconciling the bill with jobs done is a nightmare. We need a better way to get organized.</p>
<p>I would prefer a web-based, open source tool that we can use to manage clients, projects, list time, and allow project managers to assign tasks to us developers. Would also be nice if we had some kind of tracking or hooks into source control, but we still don't run any in our office, I'm pushing for SVN.</p>
<p>It just would be nice to have one place where everyone logs in and all the notes and info for the work and client are right there, along with emails exchanged. It would help us in having clearer specs and estimates.</p>
<p>I'm looking for something simple with the smallest learning curve since we aren't programmers, and we're short on time for training. Elegance is key, and if I had the time I'd build a minimalist thing that we need in house, but instead I'm being smart and asking what's out there.</p>

<p>I recently came across <a href="http://www.pomodorotechnique.com/" rel="nofollow">Pomodoro Technique</a> as a way to increase productivity, get in the zone, and in general feel a sense of accomplishment at setting some short programming goals and achieving them. </p>
<p>So far I have enjoyed it and the sense of accomplishment I get after seeing a bunch of short goals add up at the end of the day to a lot of work done on a programming project.</p>
<p>I'm looking for other ideas similar or not to the pomodoro technique to add a little variety to achieving goals, personal productivity, get in the programming zone, etc. </p>

<p>Say I just found a bug involving javascript workflow in a web app. Most of the time I will fix the bug and reload the page. Unfortunately this is a time consuming process reloading the page all the time. Does anybody else save time by reloading updated Javascript / CSS without reloading the page. <p>I understand that not all bugs can be fixed by just reloading the script, such as when the bug was in the window.onload event handler, but certainly alot of run time errors could be fixed.</p>

<p>At any given time, I do consulting for between 2-4 clients, and I'm having some trouble keeping track of the hours and generating invoices. My current solution is to use Google Calendar to track my hours, and then at month-end, manually enter the data on an Excel template I have (one copy for each customer) and email it to them. While this works, it's lacking a few things I'd like, so I wanted to see if the SO community had any recommendations for tracking these hours. What I'd like:</p>

<li>Should be web-based and hosted - I don't want to set it up on my server</li>
<li>Breaks down hours by client and project/task. I have a few long-running or ongoing tasks for certain clients, and I'd like to present each task as a single line on the invoice (instead of 5 lines of 1 hour each on this task, I spent 5 hours this month on this task).</li>
<li>As month-end approaches, I can see a summary report for my hours per client so far. I have one client who has a retainer, and I'd like an easy way to tell them that they have X unused hours this month without manually adding up time I've already entered.</li>
<li>Though I'd obviously prefer free, it's not a requirement - I'm happy to pay a reasonable monthly fee for a site that does what I need.</li>
<li>Straight-forward way to convert the data to an invoice. If I have to copy/paste, that's okay, as long as I'm not entering any data or doing something else I might mess up.</li>
</ul>
<p>Not necessary (but in some cases, nice to have):</p>
<ul>
<li>I'd like some more advanced reporting - like hours/task overall, other time periods, etc - but the only required report is a monthly summary that's easily converted to an invoice.</li>

<p>Everywhere I've worked, programmers carry about a ruled A4 hard-back note book. To avoid attracting attention, I dutifully carry one also, and once or twice in every meeting I nod sagely and pretend to write down something interesting. Occasionally people leave theirs unattended and I sneak a look. Mostly they seem to be writing a complete narrative of everything they do in the order it happened. Some fill book after book with tiny scrawl like the Kevin Spacey character in 'Seven'.</p>
<p>I can't seem to organize these books like everyone else. Almost all of the paper I generate I throw away, so I work with loose sheets. The things which need preserving end up in design docs or a wiki. TODOs are best tracked as Post-Its on my monitor. Browser bookmarks take care of most day-to-day info about 3rd party tools, and so on. </p>

Some lets you start a time session quickly but then you'd have plenties of untagged time sessions which are rather useless. Some do have a lot of organizing features but then you'd have to think up of a name and any related tags for your time session every time you start one.</p>
<p>I'm looking for one with a good blend of the first 2 points.</p>

Which leads to the question, do you have a recommended web based solution for task/project management for personal use? Ideal would be free (or nearly), and one in which i could install on my server. Accounting is not a requirement, just management of time and tasks (gantt charts would be great). However, svn integration would be really good as I keep my school work in there.</p>

<p>I put a bounty on this, as a good solution would be very valuable to me (more so than the rep). The answers so far have been great, but none fit just right for personal use. Ideal would be something that manages files and time with something I could self host. It would be a plus for MAC+PC solutions as we use MAC OSX in the lab on campus. Currently SVN and a web based time manager seems to be the way to go.</p>
<p><strong>UPDATE 2</strong></p>
<p>First, thank you for the great responses! FogBugz, Trac, and Request Tracker were either strongly recommended or suggested more than once. Trac and Request Tracker are also free and self hosted, however, their strengths seem to lay in team development. I’m going to give FogBugz on Demand a shot and see how that works out. I am also going to start using the Drop Box as suggested, great idea! Further, SVN <strong><em>will</em></strong> be used for the longevity of ‘everything’. This should walk around the 2 gig issue and self hosting desire. I am considering SVNNotifier for keeping machines current. Thanks again!</p>

<p>Just to follow up on this item. I have been using FogBugz for two weeks now; couldn’t be happier. I have started using <a href="http://www.amazon.com/Livescribe-2GB-Pulse-Smartpen-APA-00002/dp/B001AAN4PW" rel="nofollow">LiveScribe’s SmartPen</a> in conjunction with FogBugz. I am keeping longer term items within FogBugz, and copy the current week’s items in a ‘journal’ for the road. The SmartPen makes digitizing the 'journal' painless.</p>
<p>For managing files I am using a mixture between FogBugz, DropBox, SVN, and Unison. I use DropBox to share across the net, say between home and the lab, and Unison to synch up the DropBox folder within the larger SVN working copy (not everything is in DropBox).</p>

<p>I have a developer on my staff that chronically overshoots deadlines, and estimates. On several projects the last week or two everyday I hear "It should be done by the end of the day". This developer does good work.</p>
<p>I have already spoke to him about his problems. He seems genuinely frustrated, and miffed about what to do to correct them.</p>
<p>My Questions are:</p>
<ol>
<li>What kinds of punishments for passing a deadline are effective?</li>
<li>What ways can I coerce this employee to police his actions (time estimates, etc.,) himself?</li>
</ol>
<p><strong>UPDATE</strong>:
Based on the responses; here's what I have figured out. </p>
<ol>
<li>Punishment is a bad idea.</li>
<li>It is natural for an employee to be unable to fix estimating problems without intervention. </li>
<li>Don't make deadlines unless there's company consequences (lost contract) for not being done by then.</li>
<li>Utilize available methods (Agile, Joel's checklist) to help the developer estimate better.</li>

<p>Ideally this would just keep track of programming tasks / the project and the time spent also the option to produce an end of week report would be advantageous</p>
