I have a lot of data in an Excel spreadsheet that is currently in multiple rows. I'd like to transform this into rows with multiple columns.

Current data set: 
    Name        ID  Image
    product 1   111 image111A.jpg
    product 1   111 image111B.jpg
    product 2   222 image222A.jpg
    product 2   222 image222B.jpg
    product 2   222 image222C.jpg
    product 3   333 image333A.jpg
    product 3   333 image333B.jpg


Desired outcome: 
    Name        ID  image1            image2        image3
    product 1   111 image111A.jpg   image111B.jpg   
    product 2   222 image222A.jpg   image222B.jpg   image222C.jpg
    product 3   333 image333A.jpg   image333B.jpg

I don't know how to use VBA. I've tried to record a macro, but was unsuccessful. I've also tried using a pivot table. The only way I could think of is to do this manually, but that would take a long time for over 6,000 entries! –  user1620592 Aug 23 '12 at 19:10
    
I started trying a recorded macro, but it was still pretty manual and assumed each product only had 1 image. I didn't know how to make that a variable. I'd also have to run the maco almost 2000 times if I tried it that way. The answer from Mr. Williams is perfect. Thanks everyone! –  user1620592 Aug 23 '12 at 19:58
    
At first, he has not to try anything. This is a perfect question without trying anything. It is a typical task for hunderds of millions of people and does not require any VBA or assembly programming. The function must be available in Excel outright. It is stupid for everybody to start writing programs for such a routine task. By calling the user a "help vampire" you put everything upside down. –  Val Feb 4 '13 at 15:21

Basically You want to "transpose" Rows to Columns, Excel-speaking.

There're a couple of good methods, but here is the easiest way:

  1. Select all the cells you wish to "transpose" (from rows or columns)
  2. Right-click on the selection and select copy (or press Ctrl+C)
  3. Right-click the cell where you want to put the transposed data (in rows or columns), and select "Paste Special.." from the menu (you have to consider the new space you're going to fill; pasting it to a new sheet could be smart)
  4. Check the box at the bottom right “Transpose”, and then click OK.

That's it! And it works on both direction rows <-> columns !

To achieve what you are looking for, you could repeat the process for every single "product" of your dataset.

I have a significantly large amount of data. If I use transpose, I would need to select the data for each individual product and paste using transpose. This is a lot of manual work. –  user1620592 Aug 23 '12 at 18:31

Oky. Since I'm not skilled in VBA macros I'm playing around with excel functions; I've to consider the ""worst"" case with the maximum number of images. –  VoT Aug 23 '12 at 18:57

Assuming your data begins in A1 and is sorted by Product (or ID)

Enter this in D2 and fill down

=IF(A2<>A1,1,D1+1)

In the screenshot below, this is the "num" column

Formulas in the second table below are:

A12:  =IF($D2=1,A2,"")
B12:  =IF($D2=1,B2,"")
C12:  =IF(OFFSET($D2,C$11-1,0)=C$11,OFFSET($C2,C$11-1,0),"")

Drag the formula in C12 over to the right for as many "num" values as you have. Then select the whole first row and fill down for as many rows as there are in your original dataset. Copy/paste values/sort by Product to remove blank rows.

Another way that involves no code or formulas is to insert a few extra columns containing HTML tags...

To see this copy this text, select a cell in Excel and choose Paste Special > Text.

<!-->        product 1        111  </!--><td>  image111B.jpg
<tr><td>     product 2  <td>  222  <td>        image222A.jpg

<!-->        product 2        222  </!--><td>  image222C.jpg
<tr><td>     product 3  <td>  333  <td>        image333A.jpg
<!-->        product 3        333  </!--><td>  image333B.jpg

The result is shown in the screenshot below. To create this layout:

  • insert extra columns between the fields
  • enter the title rows
  • fill down all lines with the lines containing the comment characters.
  • Select the Name Column and choose Advanced Filter > Unique values > OK
  • fill down the values for the first line of each product.

Now copy and paste as text. To do this you can either

  • copy to notepad, select all text and copy and paste in Excel, or
  • activate the office clipboard, copy and paste by clicking the icon then choose Paste-Special text.
