I have a sheet with user details in columns A - C. Columns D-H is distribution lists the users are subscribed too. (currently check box linked to cell to indicate which list(s) user is subscribed to)

A user can be subscribed to more than on list.

At the moment I can use filters which works ok to filter users for list x, copy the user info to another sheet, then next list filterd (used text for the list selection) This does cause some problems between some of the users of this sheet.(those that don't know how to use filters)

I would like to create a new sheet for each list which gets populated automatically. As a user is added/removed from a list, his details is automatically added/removed from the corresponding 'list sheet'.

This way no one can complain about the filters At the same time they can then export the 'list sheet' they require to another xls doc or csv as required.

I have found various options on how to do this, but all of then had only one selection column. I thought I could alter some of the ranges etc etc in the sample code but all failed with the limited knowledge I have with VB.

Any suggestions on how to do this? Thanks!

Have you tried a private sub in the worksheet that perhaps does a vlookup in the next empty cells from the original data? The private sub should constantly update the sheet without anyone needing to run the macro and it could be based on an if statement of a cell changing in a specific column. Then vlookup the other information –  Raystafarian Feb 22 '12 at 12:48
I don't work in Excel frequently so the option mentioned is not one that I would think off. I'll see what I can find on this and how to implement. Any suggestions welcome. Thanks –  Chaka Feb 23 '12 at 8:48

Please do not try and create two copies of your data. Keeping two versions of the same data in step is very, very difficult.

I believe your best option is to create a macro with which your users can select the filter they require.

You do not describe your data in much detail so I have imagined something like the following:

Given the above layout, the following macro shows the sort of thing I would offer.

When the macro is executed, it displays an InputBox like this:

from which the user can select the filter required.

I hope this gives you some ideas.

Thank you very much - this should work fine :) I've added in the module and played around a bit. Can I reset the filter with this macro? Eg. I've selected 4. Column 4 is now filtered. I can go an click on the filter and select all. Can I reset it with the macro (or rather how can I reset)? –  Chaka Mar 1 '12 at 13:17
I came right :) I added two buttons - one to run your macro. Now that I had an idea what to do I've figured out how to apply a range as well (not specifying a range messed with the buttons) Second button I've set the filter to False. –  Chaka Mar 1 '12 at 14:12

A simple solution, hope this helps

Here's a simple solution I figured:

  1. Copy the top row with the heading from the main sheet to all the sheets
  2. Paste this formula in field A2 of each sheet: ='MainSheet'!A2:I555 (number 555 can be increased as per requirement)
  3. Drag this first row-wise, then column-wise till the end
  4. In the top row with the heading, filter the data as per your requirement, for e.g. in the MainSheet, data can be filtered on any column on any value needed
  5. Do this for all the sheets
  6. When you update the data in the MainSheet, just re-run the filter to refresh the data
